A highly respected, privately held organization is seeking a polished, proactive Executive Assistant to support a Founder in a fast-paced, high-touch environment. This is a blended role requiring executive support, light office management, and accounts payable responsibilities within a small, collaborative office.

The Opportunity
This is not a passive support role. The right individual will be:
- Highly intuitive and anticipatory
- Comfortable operating with urgency and confidence
- Willing to take initiative and “own” the day-to-day flow of the executive’s schedule and needs
You’ll play a critical role in ensuring the executive can operate at the highest level, while also supporting the broader office and family office functions.
Key Responsibilities
Executive Support (Primary Focus)
- Manage a complex, ever-changing calendar with a high level of ownership
- Provide in-office, real-time support when the executive is present
- Anticipate needs proactively (schedule shifts, meeting prep, day-of logistics, etc.)
- Handle both professional and personal requests with discretion and efficiency
- Coordinate detailed travel logistics, including private aviation support
- Serve as a gatekeeper and strategic partner in managing priorities
Accounts Payable / Administrative Support
- Code expenses and assist with bill pay
- Partner with internal stakeholders on basic AP and bookkeeping functions
- Ensure accuracy and confidentiality in financial-related tasks
Office Management (Light)
- Oversee basic office needs (supplies, organization, general upkeep)
- Support a smooth, well-run office environment
What We’re Looking For
Experience & Skills
- 5+ years of experience in an Executive Assistant role
- Experience supporting a high-level executive or principal (C-level or UHNWI)
- Exposure to accounts payable, expense management, or bookkeeping
- Strong calendar management in a fast-paced, high-demand environment
- Private travel coordination experience is a plus

- Proactive, assertive, and confident — not hesitant to take initiative
- Strong presence with the ability to manage up effectively
- High level of discretion and sound judgment
- Naturally anticipatory with strong situational awareness

Schedule & Environment
- Standard hours: ~9:00 AM – 5:00 PM (flexible based on executive’s schedule)
- Must be available and fully “on” when the executive is in the office
- Fully in-office role (Uptown Dallas)
- Not a 24/7 role, but requires flexibility and responsiveness as needed
Compensation & Benefits
- Competitive base salary: $95K–$110K (depending on experience)
