Executive Assistant to the COO
Location: Hybrid (Greater Boston Area – 3 days in office)
Compensation: $115,000–$125,000 base salary (DOE) + discretionary bonus
About the Opportunity
A highly regarded and fast-growing financial services firm is seeking a seasoned Executive Assistant to support its Chief Operating Officer. This role is ideal for a highly adaptable professional who thrives in a dynamic environment and is comfortable operating alongside an executive with a demanding schedule and significant travel commitments.
Key Responsibilities
- Manage a complex, ever-changing calendar, including frequent adjustments tied to extensive domestic and international travel
- Coordinate high-volume travel arrangements (flights, hotels, ground transportation, itineraries), often with short turnaround times
- Provide real-time support to the COO while traveling, ensuring seamless execution of meetings and commitments
- Serve as a strategic gatekeeper and liaison between the COO and internal/external stakeholders
- Prepare and refine presentations, reports, and correspondence with precision and professionalism
- Track priorities, manage follow-ups, and ensure alignment on key initiatives
- Coordinate logistics for leadership meetings and occasional board-related activities
- Handle highly confidential information with discretion
- Support additional administrative and operational projects as needed
Qualifications
- 7+ years of Executive Assistant experience supporting senior executives; financial services industry experience strongly preferred
- Proven experience managing heavy travel coordination for an executive
- Exceptional organizational skills with the ability to pivot quickly and manage competing priorities
- Strong communication skills and executive presence
- High level of discretion, judgment, and emotional intelligence
- Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word)
- Self-starter who can anticipate needs and operate independently
Work Environment
- Hybrid schedule: 3 days in office, with flexibility to work from home when the COO is traveling
- High-touch role with regular interaction and alignment with the executive
