Job Summary:
The Administrative Assistant IV provides high-level administrative support to leadership and team members within a fast-paced corporate environment. This role focuses on calendar management, meeting coordination, travel arrangements, and operational support. The position requires strong organizational skills, attention to detail, and the ability to handle confidential information while supporting multiple priorities.
Key Responsibilities:
• Provide comprehensive administrative support including scheduling, correspondence, and document preparation
• Manage executive and team calendars, proactively resolving scheduling conflicts
• Coordinate meetings and events including agendas, logistics, and catering arrangements
• Book travel and process expense reports in a timely and accurate manner
• Support onboarding and offboarding activities including workspace setup and coordination
• Maintain departmental files, distribution lists, and documentation in compliance with policies
• Prepare presentations and business documents using standard office tools
• Take meeting notes and assist with tracking action items and deliverables
• Ensure compliance with corporate policies, procedures, and confidentiality standards
• Act as a liaison for internal teams, handling communication and coordination tasks
• Support budget tracking and administrative reporting as needed
• Assist with ordering office supplies, business cards, and related materials
Required Qualifications:
• Bachelor’s degree or some college education preferred
• Minimum of 7 years of administrative experience supporting senior leadership
• Strong proficiency in Word, Excel, PowerPoint, and collaboration tools such as Teams and SharePoint
• Experience with expense management and travel coordination systems
• Excellent organizational, multitasking, and time management skills
• Strong written and verbal communication skills
• Ability to handle confidential and sensitive information with discretion
• Demonstrated ability to prioritize work and meet deadlines in a fast-paced environment
Preferred Qualifications:
• Experience supporting teams in a regulated or corporate environment
• Familiarity with tools such as Visio or organizational chart software
• Prior experience in onboarding coordination and team support functions
• Exposure to budget tracking and reporting activities
