Executive Administrative Assistant

Wright Flood is looking to hire an experienced Executive Administrative Assistant to support our CEO/President and members of our Senior Leadership team. The Executive Administrative Assistant will act as a strategic partner to optimize their time and assist in the day-to-day duties in a professional manner with attention to detail and confidentiality.

ACCOUNTABILITIES/JOB DUTIES:

  • Coordinate and book travel for CEO and other Senior Leaders.
  • Complex calendar management for the CEO/President that includes scheduling appointments, scheduling meetings, managing time blocking, current and future travel and time off dates.
  • Prepare and submit monthly expense report for CEO/President and other Senior Leaders as needed or requested.
  • Manage the Senior Leadership meetings that will include set-up/break down of meeting site and meal ordering.
  • Maintains the Senior Leadership Calendar.
  • Point of contact for CEO/President with FEMA/NFIP associates.
  • Tracks meeting minutes for all Senior Leadership Team monthly meetings.
  • Produce reports and written documentation as needed or requested.
  • Other duties as assigned or needed.


REQUIREMENTS:

  • The Executive Administrative Assistant must have exceptional written and verbal communication skills.
  • Excellent interpersonal skills, a high degree of discretion with exceptional confidentiality as this position requires inter-actions with the Sr Leadership Team Members as well as top level and priority visitors.
  • Must have a high level of integrity, discretion, pro-active problem-solving skills and adaptability. This team member must be detail-oriented and accommodating; thinking about what needs to be completed and how it can be completed in an efficient and effective manner all while maintaining a high-quality outcome.
  • Must be comfortable working in a fast paced, ever-changing environment.
  • Must be proficient with Microsoft Office and other office productivity tools.
  • Prior Executive Admin experience preferred.
  • A high school diploma or equivalent required.
  • An Administrative Assistant certification preferred.
  • This position requires good keyboarding skills with high accuracy, exceptional knowledge of excel, word, and power point with the ability to learn additional Microsoft Office applications as needed.
  • Must have excellent verbal and written communication skills.
  • Must live within 45 minutes of our office in Clearwater, FL


This position is considered a hybrid position requiring the team member to be in-office several days a week as well as additional days as needed or as business necessitates.


PHYSICAL REQUIRMENTS NECESSARY ON A REGULAR BASIS:

  • Manual dexterity, arm and upper body range of motion sufficient for use of a keyboard, mouse and telephone 7-8 hours per day.
  • Speech and hearing sufficient for in-person and telephone communication 7-8 hours per day.
  • Vision sufficient for use of a computer monitor.
  • Ability to sit at a desk 7-8 hours per day.
