Job Title: Executive Administrative Assistant (Level 3)
Location: Puget Sound, WA (Building 34, Office 4686)
Schedule: Monday–Friday, 40 hours/week (some overtime possible)
Duration: 7 months (Extension is anticipated through full 18‑month assignment term)
Pay Rate Range: $35 to $40/hr

Key Responsibilities
Executive & Administrative Support

  • Manage complex calendars for two General Managers
  • Coordinate meetings with internal executives, external partners, and stakeholders
  • Handle expense management and reporting
  • Support travel planning and logistics
Operational Support
  • Assist with new employee onboarding
  • Manage procurement requests (equipment, assets, facilities)
  • Maintain distribution lists (DLs), headcount tracking, and space coordination
  • Support morale initiatives and team events
Office & Coordination Duties
  • Prepare reports, presentations, and documents (Word, Excel, PowerPoint)
  • Maintain records and filing systems
  • Organize meetings, agendas, and logistics
  • Ensure adherence to company policies (travel, expenses, compliance)
Team & Communication Support
  • Act as a liaison across teams and stakeholders
  • Proactively identify issues and resolve scheduling conflicts
  • Maintain confidentiality and professionalism in all interactions
Basic Qualifications
  • High School Diploma or GED required
  • 5–7 years of administrative experience
  • Experience supporting senior executives (GM-level preferred)

Required Skills
  • Strong proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Ability to work independently and manage time effectively
  • High level of discretion and confidentiality

Preferred Qualifications
  • Experience managing multiple executive calendars simultaneously
  • Ability to anticipate needs and work proactively
  • Experience working in fast-paced, ambiguous environments
  • Strong problem-solving and decision-making skills
Top Must-Have Skills
  1. Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
  2. Executive calendar management (5–7 years)
  3. Multi-team and stakeholder coordination

Candidate Profile (Ideal)
  • 5–7+ years supporting senior leaders
  • Experience handling multiple executives at once
  • Strong attention to detail and ability to prioritize
  • Comfortable working in high-pressure, fast-paced environments
Disqualifiers
  • Very short job tenures without valid justification
  • Candidates below Level 3 experience (less than 5 years relevant experience)
