JOB SUMMARY

The Event Coordinator supports the planning and execution of programs across all phases of the event lifecycle. Working closely with Senior Event Managers and the Operations team, this role assists with logistics, transportation coordination, vendor coordination, and on-site execution, while maintaining internal systems, documentation, and overall program organization, with exposure to proposal development and client-facing processes.

This is a hands-on, detail-oriented role ideal for someone looking to grow within event operations and gain exposure to large-scale corporate event production.

JOB RESPONSIBILITIES

  • Supports program planning and execution under the guidance of senior team members to ensure alignment with client expectations and company standards
  • Assists with transportation planning, manifesting, and logistics coordination
  • Prepares and maintains event agendas, contracts, invoices, program documents, and internal files
  • Assists with vendor sourcing, outreach, confirmations, and communication as directed
  • Participates in site inspections and pre-program preparation to gain familiarity with venues and program flow
  • Supports on-site event execution, including load-in, setup, strike, and general event flow tasks
  • Assists with scheduling and briefing of field/T.D. staff and independent contractors
  • Supports proposal development and research in partnership with the Sales and Creative teams
  • Maintains accurate program tracking within internal systems and CRM platforms
  • Gains exposure to client-facing communication and program strategy to support long-term development
  • Provides administrative and operational support across departments as needed
  • Regularly attends and participates in networking functions and industry events; participation is required to support company visibility and growth

JOB SPECIFICATIONS

  • 1+ years of event coordination, hospitality, or administrative experience (DMC experience a plus)
  • Bachelor’s degree preferred (Business, Event Planning, or related field)
  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • High attention to detail and problem-solving mindset
  • Intermediate to advanced proficiency in Microsoft Office
  • Ability to work independently and collaboratively in a fast-paced environment
  • Strong interpersonal skills; comfortable working with a variety of personalities
  • Knowledge of the Las Vegas hospitality market is a plus
  • Willingness to work flexible hours including nights and weekends as needed
  • Willingness to travel as needed to support program execution and client events
  • Ability to work remotely with reliable equipment and connectivity

WORKING CONDITIONS

  • Hybrid role with remote work and on-site program support
  • Position may require working indoors and outdoors in varying conditions
  • Must be able to support on-site event needs, including standing for extended periods and light lifting
  • Schedule will vary based on program volume and event timing

COMPENSATION DETAILS

  • Full-time, hourly position with hours based on program volume and business needs
