Job Title: Enterprise System Administrator

Department: Strategy & Innovation Office (on-site, Aspen,CO)

Position Summary: The Enterprise System Administrator serves as the technical product owner for an enterprise system at the city, combining day‑to‑day technical administration with ownership of system coordination and delivery. The role supports routine technical needs, leads system meetings, collaborates closely and manages the intake, feasibility, and tracking of requests handled by the core administrative team while acting as the primary point of coordination between the city and third-party vendors.
The Enterprise System Administrator resolves straightforward technical issues directly and coordinates with vendors on more complex enhancements or problems, ensuring clear requirements, shared expectations, and follow through from request to implementation. Through effective communication and project management and collaboration, this role brings structure to competing demands, facilitates cross department collaboration, and takes ownership of the overall health and effectiveness of a shared system.

Supervision Exercised and Received: Position works under the general direction of the Director of the Strategy & Innovation Office or designee.

Essential Job Functions:

Enterprise System Administration
• Serves as the technical product owner for the City’s Salesforce platform, ensuring day to day stability, usability, and data integrity
• Shares primary responsibility for the system with the business product owner, collaborating closely on issue identification, resolution, and prioritization
• Performs routine Salesforce administration, including configuration updates, user access, permissions, and straightforward issue resolution
• Monitors system usage and performance to identify risks, trends, and improvement opportunities
• Maintains system documentation, standard operating procedures, and user reference materials
• Coordinates routine system updates and minor enhancements, including sandbox testing and production deployment
• Ensures system access and data practices follow established City standards and policies
• Reviews recurring issues and support trends to recommend targeted system or workflow adjustments
• Supports user adoption through clear guidance, documentation, and incremental system improvements

Project Management
• Manages the intake, prioritization, and tracking of Salesforce requests handled by the core administrative team
• Coordinates enhancement and maintenance work from request through implementation
• Coordinates with third party vendors on complex enhancements or technical issues beyond routine administration
• Tracks progress and follow through to ensure work aligns with agreed priorities and timelines

Meeting Facilitation
• Leads recurring Salesforce system and administrative meetings
• Develops agendas, document decisions, and track action items through completion
• Facilitates cross department discussions to clarify needs, align priorities, and resolve system related issues
• Coordinates and participate in vendor meetings related to system support, enhancements, and troubleshooting

Minimum Qualifications:
Education: Bachelor’s degree in a relevant field or a combination of experience commensurate with such a degree.

Experience:

• Three or more years of experience administering or coordinating work for an enterprise business application (Salesforce or comparable)
• Experience serving as the primary system coordinator for a shared, multi-department system
• Experience managing request intake, prioritization, timelines, and stakeholder communication
• Experience coordinating third-party vendors to deliver system enhancements and resolve complex issues

Technical Knowledge: Must be proficient in Microsoft Word, Excel, Outlook (Email), and a thorough understanding of computers and online computer-based technology applications, which includes accessing web-based platforms. Proficient with Microsoft 365 and web-based business applications. Working knowledge of enterprise application administration concepts (user access, permissions, configuration, basic reporting, and troubleshooting) and the ability to learn new platforms quickly. Familiarity with data quality practices and handling sensitive information in accordance with City policies.

Licenses & Certifications: Must possess a valid Colorado Driver’s License or be able to obtain one within 30 days of start date.

NOTE: Any combination of experience and education that would likely provide the required abilities, knowledge, and skills as determined by the City of Aspen may be substituted for the requirements above.
NOTE: This position requires a Criminal Background Check upon hire. Employment is contingent upon successful completion of a Criminal Background Check.

Position Type and Work Hours:
• Regular full time, hours may vary with workload.
• Occasionally, evenings/weekends may be required depending on department needs and special projects.
• Remote work opportunities will be available two days per week in accordance with City policy.
