Document Operations Specialist:
Our client is seeking a detail-oriented and reliable Document Operations Specialist who thrives in a fast-paced, high-volume environment. This role is ideal for someone who takes pride in accuracy, maintains strict confidentiality, and enjoys working hands-on with both technology and physical workflows to support critical business operations.
This role is fully on-site in Lewiston, Idaho.
Document Operations Specialist Responsibilities:
- Process, sort, and prepare incoming and outgoing documents for scanning, imaging, and distribution while ensuring accuracy and completeness.
- Operate scanning systems and related software to digitize records, validate image quality, and route documents to appropriate internal systems.
- Manage daily mailroom operations including receiving, sorting, distributing, and preparing mail and packages for shipment.
- Monitor and operate automated mail and imaging equipment, ensuring jobs are completed accurately with proper inserts, addressing, and postage.
- Perform routine equipment maintenance, troubleshoot minor issues, and escalate production-impacting problems as needed.
- Maintain detailed production logs, track workflow volumes, and ensure timely turnaround of all assigned work.
- Uphold strict confidentiality standards when handling sensitive and regulated information, including adherence to privacy requirements.
- Ensure secure handling of materials and controlled access to processing areas in alignment with internal policies.
- Maintain inventory of supplies and ensure workstations and equipment are clean, organized, and operational.
- Support team operations with flexibility, including overtime or adjusted schedules to meet business demands.
Document Operations Specialist Qualifications:
- High School Diploma or GED required; additional experience in mailroom, document processing, or office support preferred.
- Basic computer proficiency and comfort working with scanning systems and data entry tools.
- Ability to follow detailed procedures with strong attention to accuracy and quality control.
- Familiarity with general mail handling practices and shipping processes; knowledge of postal guidelines is a plus.
- Demonstrated mechanical aptitude and ability to operate and maintain office or production equipment.
- Strong organizational skills with the ability to manage repetitive, high-volume tasks efficiently.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Reliable attendance and flexibility to work varying hours, including overtime when needed.
- Physical ability to stand, walk, lift, and perform repetitive movements throughout the workday.
- Strong teamwork and communication skills with a proactive, dependable work style.
