Position Summary: The Director of Administration and Operations acts as the “Law Firm Administrator” at Jolley Law Group (JLG) is an operationally driven leader and integrator, responsible for driving execution, accountability, and efficiency across the firm. The position is a part of the leadership team and partners closely with the Managing Attorney. This executive-level role oversees every facet of business operations (excluding the practice of law itself), combining strategic planning, project management, and critical oversight of people operations, administrative and financial functions to enhance the firm-wide efficiency and scalability. The Director of Operations & People plays a pivotal role in fostering firm-wide growth while embodying the firm's role.
ESSENTIAL FUNCTIONS:
Leadership & Execution
- Collaborate closely with the JLG leadership team and translate the firm’s strategic vision into actionable goals and ensure effective execution of operational and firm-wide goals.
- Guide and oversee people operations, facilities, IT, and other administrative functions, in managing day-to-day operations, ensuring efficiency and alignment with firm objectives.
- Spearhead office location expansion and firm growth initiatives.
- Coordinate quarterly planning of growth targets, revenue, culture, and strategic goals.
- Establish, refine, and implement scalable processes and best practices across all departments.
- Act as the integrator by fostering cross-departmental collaboration and ensuring that all teams work cohesively toward the firm’s strategic objectives.
- Serve as a steady force within the organization, maintaining operational consistency and problem-solving proactively without being obstructive.
- Monitor and drive progress on key firm-wide projects, identifying obstacles and implementing solutions.
- Ensure timely and successful completion of firm initiatives by managing priorities and aligning resources accordingly.
Financial Operations & Business Performance
- Partner with Managing Attorney, firm leadership and finance to support budgeting, forecasting, and financial planning efforts, ensuring alignment with firm goals.
- Monitor revenue, expenses, and operational performance, identifying trends, gaps, and opportunities for improvement.
- Ensure financial discipline across the firm by reinforcing accountability around budgets, spending, and resource allocation.
- Translate financial data into clear, actionable insights to support decision-making and operational priorities.
- Define, track, and report on key performance indicators (KPIs) related to productivity, efficiency, and team performance
- Drive consistency in how financial and operational metrics are used across the firm to guide decisions and measure success.
- Identify inefficiencies and implement process improvements to enhance profitability and operational effectiveness.
Business Systems, Workflow & Operational Efficiency
- Oversee and continuously improve the firm’s core systems, including intake, billing, payments, collections, client engagement, and time tracking.
- Ensure systems are not only documented but consistently followed across the firm.
- Identify breakdowns, inefficiencies, and recurring issues in workflows, and implement solutions that eliminate friction and improve consistency.
- Conduct regular audits of systems and processes to ensure alignment with firm standards and expectations.
- Maintain and evolve the firm’s operational playbook, ensuring procedures are clear, relevant, and actively used.
- Serve as the go-to resource for how work gets done, ensuring clarity and consistency across all teams.
- Oversee technology, facilities, and vendor relationships to support efficient and effective operations.
People Operations, Performance & Continuous Improvement
- Oversee all aspects of people operations, including hiring, onboarding, performance management, and team development for non-attorney staff.
- Ensure every team member has clear expectations, defined roles, and measurable performance standards (KPIs).
- Drive a core-values driven culture by leading recognition, performance management, and the employee lifecycle through applying each action through the lens of the firm's core values.
- Partner with leadership to make informed hiring, promotion, and performance decisions that align with firm goals
- Oversee HR functions to ensure compliance with all applicable laws, policies, and benefits administration.
- Identify gaps in performance, communication, and operational effectiveness, and implement solutions that improve team outcomes.
- Facilitate ongoing professional development and training aligned with firm priorities and growth goals.
- Provide leadership, coaching, and support across all firm locations to ensure consistency in expectations and performance.
- Ensure alignment between firm values, team behavior, and client engagement.
QUALIFICATIONS:
- Proven Experience: Minimum of 5+ years of experience in a Law Firm Administrator or similar role in a law firm environment.
- Bachelor's degree in Business, Finance, or related degree required. Masters degree or advanced preferred.
- Strong Business Acumen: Expertise in law firm people management, operations, budgeting, and best practices. Preferred experience scaling operations to meet ambitious revenue targets.
- Exceptional Leadership Skills: Ability to lead change, coach and develop employees, and foster a positive work environment.
- Innovation-Driven Mindset: Passion for using data and KPIs to make informed business decisions. Demonstrated aptitude for technology and IT-related responsibilities with an extensive ability to leverage resources.
- Strategic Vision and Tactical Execution: Experience managing projects from concept to completion, with a focus on continuous improvement.
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
Operates a variety of office equipment such as copiers, printers, computers, etc. Must be able to push, stoop, lift, pull, reach, kneel, climb, crawl, crouch, carry, or otherwise move objects. Work involves walking or standing for periods of time. Must be able to lift/carry weights of up to 20 pounds. The position also requires travel to office locations across South Carolina.
