BROAD FUNCTION

The office of Corporate and Continuing Education (CCE) serves employers, community members, potential students, current students and the local workforce by providing occupational and workforce training resources as well as lifelong Learning opportunities. Additionally, the department works with various economic development and workforce boards and serves as a liaison for other community partner organizations.

The Corporate and Continuing Education Coordinator for CCE will serve as the administrative support professional, dedicated to providing high-level customer service to prospective students, enrolled students, employers, faculty, the instructional design team, and other key stakeholders of Jackson College in a fast-paced environment. In addition, this position will assist with tracking, coordination, and implementation of lifelong learning, occupational, and workforce training programs provided by the department. This position requires a strong team- approach to daily work activities and adaptability to the constant development of new innovative projects. Due to the nature of CCE services, the Corporate and Continuing Education Coordinator must be comfortable working with executive-level personnel within the community and consistently demonstrate strong business professionalism, including both verbal and written and while attending multi-faceted meetings both internal and external. Further responsibilities include working closely with internal departments to assist individuals with all aspects of Student Services including, but not limited to, admissions, event planning, registration, career services, multicultural, international, and support services.

ESSENTIAL DUTIES AND RESPONSIBLITIESinclude the following. Other duties may be assigned.

• Provide high-quality front-line customer service in collaboration with Coordinators and administrators by assisting students, employers, faculty, and community partners; managing employer communications; processing registrations, payments, reimbursements, and cancellations; and ensuring timely, professional follow-up across phone, email, text, and chat platforms.

• Maintain comprehensive knowledge of department programs, services, pricing, requirements, outcomes, and funding opportunities to accurately advise participants and employers, support enrollment growth, and guide customers in leveraging applicable financial resources.

• Coordinate scheduling and logistics for department programs, trainings, community workshops, camps, and events, including reserving rooms and off-site locations, arranging catering, ordering supplies and consumables, preparing instructional materials, and managing calendars for faculty, students, and administrators.

• Manage departmental registration, records, and data systems by building classes, enrolling participants, updating attendance and grades, maintaining accurate digital and physical files, documenting communications and inquiries, ensuring FERPA compliance, submit credit for prior learning requests to Dean and Registrar, and preparing certificates and completion documentation for accrediting and credentialing bodies.

• Administer learning platforms and faculty access by managing Canvas Catalog (Jetway) and CCE subaccounts, creating course listings, shells, sandboxes, copying content, adding and removing faculty, coordinating non-degree program approvals, and serving as liaison to ensure platform best practices.

• Provide administrative and financial support by tracking budgets, purchase orders, invoices, vouchers, payments, credit card summaries, instructor stipends, and reimbursements; maintaining organized electronic records; and supporting multiple administrators and departmental projects.

  • Coordinate with CCE team in developing marketing strategies, materials, CCE catalogs, and electronic/social media communications. Develop literature and communication templates, ensuring accurate information free of grammaticalmistakes as well as participate in presentations and/or orientation efforts, which may involve work at College functions, industry open-houses, and business and industry events. Events may take place during non-standard workhours
    • Timely ordering and organization ofoffice supplies, maintaining the office supply inventory, maintaining the office machinery, scheduling appointments, and schedulingrooms for CCE meetings.
    • Manage all instructor Edustaff account set-up in a timely manner.
    • Lead Jetway Committee to engage and inform faculty of course offering opportunities and process to assure Jackson College course approval of standards. Manage the intake and review process for Jetway proposal submissions.
    • Provide administrative support to multiple administrators, including scheduling, preparing credit card summaries, processing invoices, and assisting with various department projects.
    • Maintain accurate department records and files for completed courses, including course completion folders, instructor packets, schedules, rosters, course evaluations, budgets,etc.
    • Prepare and ensure that certificates for students completing department training areready for distribution,
    • Submit all required paperwork for completion verification to certifying bodies, such as industry-credentials, licenses, CEUs, certifications,etc.
    • Build, maintain, and nurture effective and professional relationships withcolleagues, students, employers, community members, vendors, and partners through open communication, especially as related to college programs of study, lifelong learning, workforce training, work-based learning/graduate placement opportunities, and apprenticeships in Jackson, Hillsdale, and Lenaweecounties.
    • Manage the YMCA youth camp each summer. Organize all faculty volunteers and order supplies based on activity. Track cost for reimbursement. Support in hiring, training, and managing student worker for camp.
    • Maintain current knowledge of related training funding opportunities, including federal and state workforce grants, MNJTP training funds, partner programs, financial aid, etc., Assist students and employers in leveraging funding programs as appropriate andapplicable.
    • Responsible for understanding, supporting and actively demonstrating Jackson College’sbeliefs, values, mission and vision and being in agreement to be evaluated bysame.
    • Occasionally be available during evening and weekend hours for departmentalactivities and to periodically attend communityevents.
    • Assign competency and work-based learning tasks to department student workers and interns to maintain a positive student experience and provide strong lasting experiences.
    • Analyze and evaluate sensitive situations critically and accurately, determine consequences, solve problems creatively and recommend effective courses of action.
    • Utilize college electronic systems for digital student record maintenance and updates, while appropriately documenting student communications and inquiries; record details of inquiries, comments and complaints, record details of actions taken.
    • Participate in ongoing learning and professional development to assure ongoing knowledge and implementation of workforce and student development best practice standards.
    • Embrace a diverse student population recognizing each student’s unique circumstances, needs, and motivations for pursuing higher education.

External: Michigan Works Agencies (MWA), Jackson Area Manufacturers Association (JAMA), Workforce Agencies/Boards, Economic Development Partners, Career and Technical

Education personnel, industry and community partners, and potential or current students/apprentices.

Education and Experience

Minimum of Associate Degree in Business, Marketing, Organizational Management, or related field required.

  • Experience in training development, evaluation, research and/or program development.
  • Ability to maintain strict confidentiality and accuracy when handling sensitive information, records and reports.
  • Grant compliance, records management tracking, and reporting experience.
