We are looking for a polished, highly organized professional with a passion for supporting a dynamic global environment. This is a full-time, on-site role reporting to the Senior Executive Assistant.


Essential Job Functions:

  • Serve as the first point of contact for visitors and employees; manage access and set the tone for a professional, welcoming environment
  • Assist with scheduling, calendar management, and coverage for the Senior Executive Assistant as needed
  • Record meeting minutes, coordinate executive and cross-departmental meetings, and virtual conferences; play a key role in organizing and attending larger events
  • Set up and break down meeting rooms, including catering, A/V, and seating, support internal events and client meetings end-to-end
  • Draft internal and external communications, including memos, emails, presentations, and reports
  • Screen and direct phone calls, manage incoming and outgoing mail, packages, and courier services
  • Maintain office supplies inventory, coordinate vendor relationships, and manage facilities requests
  • Organize and book travel arrangements, assist employees with travel logistics and related inquiries
  • Ensure all documents are properly filed and in compliance with applicable record retention policies
  • This position requires approximately 10% travel; must be comfortable commuting to the Avenel, NJ office on a full-time basis

Qualifications for the Position

  • Previous experience in office coordination, administrative support, or a customer-facing role
  • Proficient with Microsoft 365 (Word, Excel, PowerPoint, Outlook) and comfortable with technology
  • Strong written and verbal communication skills
  • Detail-oriented and highly organized with the ability to manage competing priorities
  • Adaptable and comfortable with ambiguity; able to deal well with change; tackle ad hoc projects with a “sure, I’ll figure it out” attitude; resourceful
  • Professional, discreet, and able to maintain confidential information
  • Ability to work collaboratively across teams and with all levels of the organization
