The Research Foundation for Mental Hygiene is seeking a qualified candidate to fill a full-time Contracts Coordinator position for its intermediary organization, the Center for Practice Innovations (CPI), encompassing OnTrackNY and OnTrack USA programs.

The CPI aims to advance a behavioral healthcare system whose workforce provides the highest quality and value of evidence-based treatments and services for recovery and wellness to participants and their families. The CPI serves as a key resource in spreading those practices identified by the New York State Office of Mental Health (NYS-OMH) as critical to supporting the transformation of behavioral health care service delivery in New York.

The Contracts Coordinator will be responsible for preparing, negotiating, invoicing and tracking contracts between CPI, Including OnTrackNY, and its customers and provide CPI with project management and business support for revenue streams. The candidate must have very strong organizational and project management skills, strong interpersonal, written communication, and analytical skills, and have knowledge of budgeting & cost accounting.

The Contract Coordinator reports to and works closely with the Financial Director, OnTrackNY and the Division Administrator.

Duties and Responsibilities:

  • Facilitate a centralized system and process for CPI and OnTrackNY contracts
  • Participate in all aspects of cost configurations for incoming contracts, while ensuring full accuracy of contract contents.
  • Draft contract budgets
  • Obtain legal review and approval of working changes in contract documents
  • Handle invoicing and revenue ad hoc reports
  • Maintain day-to-day inventory and tracking of executed and pending contracts to ensure timely and complete execution and

follow-up.

  • Works with other departments as needed for timely completion of annual amendment cycles.
  • Monitor and track the progress of contract deliverables throughout the funding period
  • Provide ongoing customer service and support to customers via email during the lifecycle of each contract.
  • Serve as liaison between customer and CPI online assistance unit to address registration, LMS access, and general usage

questions as they arise.

  • Provide administrative support in the development of tools, guidance documents, and FAQs to increase the efficiency of contract

development and implementation

  • Works with Division Administrator and Financial Director, OnTrackNY to manage and support revenue streams for CPI products
  • Identifies and implements process improvements to the contract/amendment process as needed.
  • Generate ad hoc reports, participate in special projects, and performs other related duties as assigned.
  • Other tasks as required.

Minimum Qualifications:

  • A bachelor's degree in business administration or related field plus a minimum of two years of work-related experience. Work experience can substitute for degree or degree type.
  • At least (1) year of pre- and post-award experience working with grants, including federal awards, and contracts.

Preferred Qualifications:

  • Demonstrated ability to use Word, Excel, PowerPoint, and Outlook to create, analyze, and present information efficiently.
  • Knowledge and experience of the NYS-OMH system.
