Job Title: Construction Administrator
Job Summary
The Construction Administrator manages and coordinates construction administration activities for a wide range of projects within an architectural and engineering firm. This role supports commercial, institutional, and residential developments—including healthcare, assisted living, higher education, and multi-family facilities—by ensuring construction execution aligns with contract documents, project specifications, and design intent. Based in the Charlotte office, the position requires a strong working knowledge of construction processes, AIA contract documents, and effective collaboration with project teams, contractors, and clients.
Key Responsibilities
- Administer all construction-related activities for assigned projects from construction start through closeout.
- Review, interpret, and apply project specifications and AIA contract documents, including AIA A201 General Conditions and related agreements.
- Manage and track RFIs, ASIs, CCDs, proposal requests, shop drawings, submittals, change orders, and all related construction correspondence.
- Conduct on-site construction observations to evaluate progress, confirm compliance with contract documents, and verify quality and design intent.
- Monitor construction progress and document field conditions, coordinating necessary clarifications or adjustments with internal project teams.
- Participate in meetings with general contractors and clients to resolve construction issues and support clear communication throughout the project lifecycle.
- Maintain accurate and organized logs for all contractor correspondence, including submittals, RFIs, change orders, and applications for payment.
- Review contractor applications for payment to confirm work completed and materials stored are consistent with project status and contractual requirements.
- Collaborate closely with architects, engineers, and consultants to address construction-related questions and coordinate design responses.
- Utilize construction administration and project management software, including Newforma and Bluebeam, to manage documentation and communication.
- Promote a culture of quality, accountability, and service by proactively addressing issues and maintaining thorough project documentation.
Required Skills & Qualifications
- Prior experience as a Construction Administrator within an architectural and/or engineering firm.
- Certificate or degree in construction management, building construction, architecture, or a related field from an accredited institution.
- Solid understanding of construction materials, methods, means, and sequencing.
- Demonstrated knowledge of AIA contract documents and construction specifications.
- Ability to perform site observations and accurately document findings.
- Willingness and ability to travel to project sites as required.
- Strong organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.
- Proven ability to review contractor pay applications and construction documentation.
- Excellent written and verbal communication skills with the ability to work effectively with clients, contractors, and internal teams.
Preferred Qualifications
- CCCA (Certified Construction Contract Administrator) certification.
- Experience with Newforma and/or Bluebeam software.
- Background working on healthcare, assisted living, higher education, and multi-family projects.
- Project management experience within architectural or engineering environments.
- Exposure to both architectural and engineering disciplines.
- Experience working in a large, multi-disciplinary design firm.
Work Environment
This position is based in a collaborative architectural and engineering office in Charlotte, specializing in senior living, education, healthcare, and government facilities across multiple regions. The role combines in-office collaboration with regular site visits for construction observations and client and contractor meetings.
