Position Summary

The Staff Clinical Coordinator/Program Administrator provides high-level administrative and clinical coordination support to the DNP Nurse Anesthesia (CRNA) Program. This position plays a critical role in ensuring seamless clinical operations, regulatory compliance, student scheduling, and program communication.

This role is primarily in-person at the Detroit Campus and requires occasional work at the Grand Rapids CRNA site. The position collaborates closely with the Director of Clinical Education (DCE), Program Chair, Compliance Officer, Clinical Coordinators, and Director of Finance and Business Operations.

The ideal candidate is highly organized, detail-oriented, systems-driven, and capable of managing complex clinical databases and accreditation-related processes.


Essential Duties and Responsibilities

  1. Clinical Coordination & Scheduling;
  • Responsible for scheduling students in the program’s internal scheduling system.
  • Enter and manage rotation requests and assign student clinical placements.
  • Ensure all required documentation is completed and submitted to clinical sites for assigned students/advises.
  • Maintain and update the clinical site database within Typhon (in collaboration with clinical coordinators).
  • Add students to Typhon and ACEMAPP and ensure compliance with requirements (immunizations, certifications, payments, onboarding documentation)
  • Verify student licensure and certification documentation.
  • Coordinate Typhon orientation sessions with Typhon representatives.
  • Communicate with students regarding rotation assignments and clinical coordination matters.
  • Maintain student confidentiality per FERPA guidelines.
  • Liaison with clinical sites, coordinators, and hospital system administrators for student onboarding.

2. Compliance & Affiliation Management;

  • Work with the Director of Clinical Education and Compliance Officer to complete and update MOUs and Affiliation Agreements.
  • Ensure all clinical placement documentation meets institutional, accreditation, and regulatory requirements.
  • Monitor and maintain compliance-related databases to ensure data accuracy and alignment across platforms.

3. Financial & Operational Coordination;

  • Collaborate with the Director of Finance and Business Operations to process preceptor payments.
  • Monitor payment processes to ensure timely and accurate compensation for speakers, events, accreditation bodies, etc..
  • Assist in tracking clinical-related budget items associated with preceptors and sites.

4. Program Administration & Events;

  • Manage the department email and phone communications.
  • Attend all CRNA faculty meetings.
  • Take detailed meeting minutes and disseminate to faculty and program chair Coordinate and manage annual program events including:
    o Senior Seminar
    o New Student Orientation
    o Admissions processes and interview coordination
  • Assist with formatting and maintaining the Clinical Year Student Handbook (in collaboration with clinical coordinators and clinical year faculty).
  • Maintain and align program databases to ensure accuracy and consistency.
  • Work with program director on all reporting requirements (annual report, COA, clinical sites, etc.)

5. Other duties assigned by the dean of the college of Health Professions.

Requirements

Minimum Qualifications

  • Bachelor’s degree required (Master’s preferred).
  • Minimum 3–5 years of administrative experience in higher education, healthcare education, or clinical operations.
  • Demonstrated experience managing databases and scheduling systems.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to manage multiple priorities in a deadline-driven environment.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite and database systems.

Preferred Qualifications

  • Experience with Typhon and/or ACEMAPP.
  • Experience in nursing or health professions education.
  • Familiarity with accreditation standards (COA, CCNE, or similar).

Physical Requirements

Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10pounds).

Regular exposure to favorable conditions such as those found in a normal office.


Salary/Pay Information

Commensurate with experience


Anticipated Schedule

  • Monday to Friday 8.00 AM to 5.00 PM ( Some evening or extended hours during peak periods (admissions, orientation, major events).
  • In-person presence required at the UDM Detroit Campus.
  • Occasional work at the Grand Rapids site.
  • Participation in faculty meetings and program events required.
