This role focuses on client service, scheduling, email, document management, client coordination, and general office support, enabling the advisor to focus on high impact client service and business development. The position requires strong attention to detail, professionalism, and discretion in a regulated financial services environment.

Key Responsibilities

  • Administrative & Office Support
  • Manage calendar, meetings, email, and scheduling for the Financial Advisor
  • Coordinate travel arrangements in compliance with established guidelines
  • Prepare, format, and organize documents and correspondence
  • Maintain organized digital and physical records
  • Handle routine administrative tasks and follow-ups

Client & Practice Support

  • Assist with client meeting preparation and logistics
  • Participate in marketing activities such as coordinating client events, proactive client outreach and managing and developing client care programs
  • Maintain professionalism and confidentiality in all client interactions
  • Support onboarding and service-related administrative tasks
  • Serve as a point of contact for internal coordination related to advisor needs
  • Compliance & Documentation Support
  • Follow internal and firm policies and procedures related to recordkeeping and documentation
  • Ensure files and records are maintained accurately and consistently
  • Escalate questions regarding policies or procedures to appropriate leadership

Required Skills & Qualifications

  • 2+ years of administrative or office support experience
  • Strong organizational skills and attention to detail
  • Professional written and verbal communication skills
  • Proficiency in Microsoft Outlook, Word, and Excel & CRMs
  • Ability to manage multiple priorities and deadlines
  • Discretion in handling sensitive and confidential information
  • Friendly and outgoing client service disposition

Preferred Education/Licenses & Certifications

  • Bachelor’s Degree Preferred
  • Preferred Series 63
  • Experience in financial services, insurance, or professional services
  • Prior experience supporting a financial advisor or client-facing professional strongly preferred
  • Familiarity with office procedures in a regulated environment
