This position provides administrative support by preparing fiscal documents, managing correspondence, coordinating meetings and travel, handling mail, and assisting with accounting and procurement tasks. The role ensures accurate data entry, efficient office operations, and reliable support to the Administrative Officer 5 and department staff.
Responsibilities of this position include:
• Prepare operating, capital, and budget reports, ensuring accuracy and proper formatting.
• Review and proofread documents for grammatical, numerical, and formatting accuracy.
• Record meeting notes and produce official minutes for committees and other meetings.
• Operate office equipment including computer, typewriter, transcriber, fax machine, calculator, copier, and shredder.
• Prepare and complete forms and correspondence from drafts or general instructions.
• Maintain the Administrative Officer 5’s calendar and schedule meetings.
• Arrange hotel and travel accommodations and enter travel expenses according to state regulations.
• Screen visitors and phone calls, directing them to the appropriate personnel.
• Distribute incoming mail and prepare outgoing mail daily.
• Monitor, maintain, and log daily activity for the postage meter machine.
• Assist Revenue/Accounting with tasks such as Medicare billing, data entry, filing, and mailing correspondence.
• Use the SRM program to requisition and receive goods and services for the facility.
• Attend required in-service trainings and continuing education programs.
• Enter travel requests and reimbursements for department staff as needed
