The Chief of Staff serves as a strategic and operational partner to the Executive Director and senior leadership team. This role oversees financial operations, human resources functions, compliance, and administrative systems to ensure the efficient and effective functioning of the school.
The Chief of Staff plays a critical role in aligning operational execution with the school’s mission, supporting staff, and ensuring fiscal responsibility within a school-based environment.
Key Responsibilities
Financial Management & Compliance
- Maintain a GAAP-compliant general ledger, including reconciliation of accounts and submission of financial statements
- Manage government funding sources, including Region 10 and Title funds
- Develop and manage the annual operating budget and analyze variances
- Prepare bi-monthly Board financial packages
- Oversee Accounts Payable/Receivable and weekly deposits
- Administer payroll with accuracy and compliance
- Coordinate benefits and open enrollment with brokers
- Manage retirement programs and related compliance
- Prepare documentation for audits and IRS Form 990
Human Resources & Staff Support
- Manage employment contracts for faculty and staff
- Oversee background checks and compliance requirements
- Provide HR guidance on payroll, benefits, and employee relations matters
- Promote a culture of accountability, professionalism, and collaboration
Strategic Operations & School Leadership Support
- Champion the school’s strategic plan and provide updates for board meetings
- Collaborate with Director of Advancement and Grant Writer on budgeting and funding needs
- Partner with Director of Admissions on enrollment forecasting and student placement
- Support financial aid planning and school-wide policies
- Assist leadership with student discipline and major operational decisions
- Improve operational systems, workflows, and reporting processes
- Manage vendor relationships, including security and operational services
- Serve as liaison between leadership and staff
General Responsibilities
- Perform duties as assigned by the Executive Director
- Support the mission, vision, and values of the school
- Communicate effectively with staff and leadership
- Attend required meetings and training sessions
- Ensure adherence to school policies and procedures
Qualifications
Education
- Bachelor’s degree required (Business, Finance, Human Resources, or related field)
- Master’s degree preferred
- Professional certifications preferred (CPA, SHRM, PHR, or similar)
Experience
- 5–7 years of leadership experience required
- School or nonprofit experience preferred
- Experience with government funding and grants strongly preferred
- Experience presenting to executive leadership or Board of Directors
- Experience managing HR and financial operations
