Bookkeeping / Accounting Coordinator

Job Summary

PrideStaff is seeking a detail-oriented and highly organized Bookkeeping/Accounting Coordinator on behalf of our client in Livingston. The ideal candidate will be responsible for tracking and managing financial data, ensuring company books are updated on an ongoing basis, and working closely with the Accountant to meet all legal and reporting requirements.+1

Essential Duties & Responsibilities

Accounts Receivable (A/R)

  • Create and send customer invoices based on daily shipments via email.

  • Post payments accurately (Checks, ACH, and Wire Transfers).

  • Manage collections: perform ongoing follow-ups via email/calls and send account statements.

  • Process credit memos and verify documentation for rejections.

  • Review credit applications and check references for new customers.

Accounts Payable (A/P)

  • Enter invoices based on purchase orders or services received into the system.

  • Obtain departmental approvals for miscellaneous invoices.

  • Prepare and process check runs on the 1st and 15th of each month.

  • Pay online bills, utilities, and process wire payments to vendors.

Accounting & Finance Support

  • Prepare monthly, quarterly, and yearly financial reports as requested.+1

  • Maintain and update customer accounts in QuickBooks Online (QBO).

  • Calculate yearly customer discounts and rebates.

  • Maintain current company licenses and permits.

  • Support the audit process and act as an internal auditor.

Cross-Functional Support

  • Quality Check: Assist with COAs, packing slips, shipping labels, and arranging shipments via UPS/FedEx.

  • Inventory/Formulation: Track inventory levels and deduct stock as used for shipments.

Skills & Requirements
  • Experience: Proven ability to calculate, post, and manage accounting figures.

  • Software: Hands-on experience with QuickBooks (QBO) or Sage 100.

  • Education: An AS or BS degree in Finance, Accounting, or Business Administration is highly preferred.

  • Detail-Oriented: Exceptional data entry skills with a high degree of accuracy and a "knack for numbers".

  • Organization: Ability to prioritize tasks, meet deadlines, and maintain exceptional organizational records.

  • Communication: Ability to communicate financial data clearly to all levels of management.
