About the Role

Due to significant business growth (over 30% year over year), we are adding a dedicated Billing Specialist to support our expanding customer base. This role plays a key part in resolving billing issues, clearing credit holds, supporting payment resolution, and ensuring orders move smoothly through production.

This role works closely with the Accounting team and requires strong communication skills, consistency in applying policies, and a solution‑oriented mindset.

Key Responsibilities
  • Partner with Accounting to investigate and resolve customer billing issues, including discrepancies, credits, and potential overbilling.
  • Review customer accounts to determine next steps and ensure accurate billing records.
  • Create credits as needed based on account investigations.
  • Clear credit holds daily by conducting outbound outreach to customers.
  • Contact past‑due customers to resolve outstanding balances and support payment resolution.
  • Work with customers to identify and resolve payment‑related issues that may impact order processing.
  • Update and maintain existing payment plans, including verifying and adding new payment methods.
  • Provide clear, customer‑friendly communication when discussing billing concerns and payment options.
  • Prepare and send approximately 5 quotes or custom invoices per day.
  • Set up orders accurately in internal systems to ensure smooth processing.
  • Apply existing payments and coordinate with Accounting to keep accounts current.
  • Provide clear and well‑organized documentation to support billing inquiries.
  • Assist with month‑end and quarter‑end accounting activities.
  • Support overall accounting operations, including cash flow and account reconciliation activities.
  • Flex between billing, collections, and administrative tasks based on weekly volume and business needs.
Required Qualifications
  • 1+ year of experience in billing, accounts receivable, or collections
  • Strong verbal and written communication skills
  • Excellent attention to detail and organizational skills
  • Customer‑focused, solution‑oriented mindset
  • Ability to manage multiple tasks and pivot priorities in a fast‑moving environment

Job Type & Location

This is a Contract to Hire position based out of Madison, WI.

Pay and Benefits

The pay range for this position is $23.00 - $23.00/hr.
