Summary:

The Benefits Administrator is primarily responsible for supporting the pre-sale and new business implementation process. The Administrator will be responsible for supporting sales producers in the acquisition process of selling new clients and then leading the new client implementations for those accounts sold.


During the new client onboarding process, the Administrator will also work closely with the Benefits Technology & Enrollment Specialist to communicate and interact with multiple carriers/vendors and their implementation teams.

Additionally, the Administrator will be responsible for managing multiple client implementations at one time, and for ongoing communication with the account team on the status of the implementations.


Essential Duties and Responsibilities:

  • Support Producers with all pre-sale related new business activities
  • Works with producers to determine employee benefits strategy and plans to quote.
  • Execute Business Associate Agreements and Broker Comp Disclosure Notices and coordinates COBRA set-ups.
  • Provide appropriate and required applications of coverage for each carrier/vendor to the Employer Group, advising clients on how to correctly complete the paperwork, and helping to complete portions of the paperwork when possible.
  • Some examples of group applications include paperwork for health, dental, ancillary coverage, voluntary coverage, PBM’s, FSA, HSA, virtual care providers, wellness vendors and clinical vendor arrangements.
  • Manage the employer-level enrollment integrations for all lines including but not limited to, health, dental, ancillary coverages, voluntary coverages, PBM’s, FSA, HSA, virtual care providers, wellness vendors and clinical vendor arrangements.
  • Submit correctly completed employer-level applications to the carriers of choice.
  • Manage employer group and carrier/vendor timelines for timely implementation.
  • Lead discovery call with vendors upon confirmed client confirmed carriers/vendors of choice.
  • Implementation meetings/calls with employer group, carrier, and vendor partners
  • Ensure customer satisfaction through consistent communication, follow-up and timeline updates on the implementation.
  • Manage off cycle implementations (BOR takeovers)
  • Maintain Enrollment Implementation check list.
  • Basic understanding of carrier underwriting requirements and data needed for quotes.
  • Vendor implementation relationship management
  • Provide client marketing/communication materials
  • May conduct open enrollment meetings either on-site or virtually as needed.


Education, Training and Experience:

  • Minimum 2 years’ experience with a carrier (prefer health plan), agency, brokerage firm and or enrollment vendor.
  • Experience with Employee Navigator
  • Knowledgeable in employee benefits, enrollment guidelines, HRIS systems, enrollment systems and technology, underwriting regulations and legislation impacting the industry, preferred.
  • Working knowledge of all Microsoft office products; Intermediate Excel knowledge required.
