SUMMARY
The Assistant Supervisor and Special Programs Coordinator at Pacific Northwest Ballet School provides support to the Managing Director, School Principals, Director of Access Programs, and School Supervisor. This position assists key programs across PNB School, including the Open Adult Dance Program, DanceChance, and Dance for All, while also delivering high-level customer service, answering parent inquiries, and maintaining broad awareness of all school operations.
As an entry-level leadership role, this position requires strong communication, collaboration, and time management skills. The role is scheduled across all PNB School locations in Seattle (Seattle Center and SoDo) and Bellevue and will assist the School Supervisor with shift coverage.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Open Program and Conditioning Program Coordination
- Oversee the PNB Conditioning Pilates program and studios across all locations
- Schedule sessions, process charges, and check in clients participating in the PNB Conditioning program, including creating and managing Summer Course student training groups
- Maintain client schedules, profiles, and processes in Mindbody
- Manage PNB Conditioning faculty schedules
- Train administrative staff on booking, canceling, check-in/check-out procedures, daily reports, and other Mindbody functions
- Maintain Pilates studios, equipment, and props; schedule repairs and place orders as needed
- Add and update all Open Adult Dance classes in Mindbody
- Create promotional materials for Open Programs and coordinate with the PNB Marketing team on social media content
- Develop and implement strategies to increase enrollment in Open Adult classes
- Respond to student inquiries and resolve issues related to the Open Program
DanceChance and Dance for All Program Support
- Provide administrative support for DanceChance, the DanceChance Mentorship Program, and Dance for All
- Schedule school visits, manage correspondence, and maintain program documentation
- Track registrations and participant demographic data in Tessitura
- Create program materials using Canva, including flyers, brochures, and calendars
- Collaborate with the Director of Access Programs to support daily programming, including in-person support for select activities
- Assist with screenings, classes, and evaluations as needed
PNB School Administrative Duties
- Support students and families, including arrival and pick-up, dress code assistance (including hair styling), and maintaining a secure, welcoming environment
- Provide information to parents, students, and the community regarding PNB School policies, procedures, and programs
- Assist with school events and performances, including Open Houses, Strike Up the Band, Petite Finale, School Performances, and Discover Dance
- Support registration processes in Tessitura, including payments, tuition inquiries, financial aid processes, and troubleshooting
- Provide front desk coverage, including greeting guests, checking in visitors, answering phones, and handling inquiries
- Manage a high-volume shared inbox, responding to inquiries and escalating or coordinating with other departments as needed
- Maintain student files, attendance records, and general administrative documentation
- Perform opening and closing procedures across all locations, including evening and Saturday shifts, and assist with shift coverage as needed
QUALIFICATIONS
- Warm, friendly, and professional demeanor
- Dance experience strongly preferred; knowledge of classical ballet strongly preferred
- Excellent verbal and written communication skills
- Strong customer service experience
- Experience working with children
- Background in program coordination and operations
- Proficiency in Microsoft Word, Excel, Canva, and Outlook
- Professional phone and email etiquette
- Strong organizational skills with the ability to multitask and manage multiple deadlines
- Reliable transportation required; must be able to travel between multiple locations in a single day and assist with transporting supplies
- Valid and current driver’s license required
