We are seeking a highly organized, solution focused and detail-oriented Project Coordinator to support and enhance our operations. The ideal candidate will ensure all the information and processes are handled efficiently and effectively manage the office. This role is Full Time and requires working on-site at our office located in Huntersville, NC near Birkdale Village.
Position Summary:
The Project Manager – Land Development is an entry-level project management role responsible for supporting the execution of residential and commercial land development projects across preconstruction, construction, and closeout phases. This position blends hands-on field project management with key administrative and coordination functions that keep projects moving efficiently. The ideal candidate is highly organized, detail-oriented, and eager to grow their career in land development project management. Experience in civil engineering, construction, or real estate development is preferred.
Key Responsibilities:
Project Management and Field Oversight:
- Support the Senior Project Manager in developing and maintaining the Project Plan, including scope, budget, schedule, and resource coordination
- Procure and manage contractors and vendors to execute Project Plans, ensuring alignment with construction documents, schedule, and budget
- Conduct regular site visits, field observations, and site meetings to monitor construction progress and document conditions through photographs, field reports, and schedule updates
- Review and process contractor invoices and change order requests in a timely manner, verifying completed work relative to construction documents and amounts invoiced
- Identify deviations from the Project Plan and communicate impacts to schedule, budget, and risk to the Senior Project Manager and Executive Team with recommended corrective options
- Support preconstruction meetings and inspections with relevant agencies and municipalities
- Assist with the maintenance, warranty, governmental compliance, and utility acceptance functions required at project closeout
- Issue regular project update reports and contribute to monthly client and leadership presentations
Project Coordination & Administrative Support:
- Coordinate, document, and follow up on bid requests, contractor agreements, permit applications, utility requests, and municipal correspondence
- Assist with the preparation and submittal of permit packages and utility coordination for active projects
- Maintain up-to-date project schedules, budgets, tracking logs, and general project information in internal systems
- Organize and track approvals, scopes of work, pricing, and third-party studies
- Support consistent folder structures and project file management to ensure all project knowledge is archived
- Attend project-related meetings and capture key decisions and action items
- Assist with invoice processing and project-related data entry, including trade partner information and schedules
- Perform courier duties as needed (e.g., delivering checks, recording documents, collecting plans)
Required Skills and Qualifications:
- Bachelor's degree in civil engineering, construction management, urban planning, or a related field OR 2–4 years of equivalent experience in land development, construction, or civil engineering
- Strong written and verbal communication skills
- Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Familiarity with project scheduling tools (MS Project, MS Planner, or similar)
- Valid driver's license with reliable personal transportation for regular local travel
- Customer-service mindset and collaborative, team-oriented attitude
Preferred Qualifications:
- Experience with permit applications, utility coordination, or municipal entitlement processes
- Familiarity with construction documents, contractor agreements, and bid processes
- Experience with QuickBooks or similar bookkeeping/invoice processing software
- Experience with project management or construction tracking software
