A well-known financial services company is seeking Administrative Support professionals to join its Asset & Wealth Management Leadership Assistant (Shared) team. This is a contract role supporting senior leaders in a shared, team-based model and requires strong organizational skills, discretion, and the ability to manage competing priorities in a fast-paced environment.


Location: Dallas, TX (On-site)

Pay Rate: $29/hour

Contract Duration: 6 months+


Key Responsibilities:

  • Provide administrative support in a team-oriented environment, with flexibility to support varying teams and provide coverage as needed
  • Assist with coordination of domestic and international travel and process a high volume of expense reports and invoices in a timely and compliant manner
  • Arrange internal and client meetings on-site and off-site, including conference room booking, catering coordination, guest registration, and material preparation
  • Support calendar management across multiple time zones, prioritizing meeting requests and coordinating phone, video, and in-person meetings
  • Assist with answering incoming phone calls, taking accurate and detailed messages while interacting professionally with senior leaders and clients
  • Perform general administrative duties including invoice submissions, time entry, copying, scanning, filing, mailing, archiving, and ad hoc projects
  • Handle highly confidential and sensitive information with discretion and professionalism
  • Act as an integral member of the shared support team, maintaining awareness of current priorities and support needs
  • Adhere to compliance requirements and obtain necessary approvals


Skills & Qualifications:

  • Strong judgment and discretion when handling confidential and sensitive information
  • Excellent interpersonal skills and ability to collaborate with assistant teams locally and globally
  • Ability to remain calm under pressure and manage multiple priorities efficiently
  • Strong written and verbal communication skills with a professional presence
  • Comfortable providing remote support to executives and teams across multiple locations
  • Exceptional attention to detail and organizational skills
  • Quick learner and self-starter with strong anticipation and follow-up skills
  • Proactive problem-solver with the ability to work independently
  • High degree of integrity, professionalism, and diplomacy
  • Proficiency in MS Word, Excel, PowerPoint, Outlook, and Zoom
  • Familiarity with expense platforms such as SAP Concur
  • Positive, team-oriented attitude
