Position Summary:

The Administrative Specialist will be trusted to provide efficient, accurate, and reliable support to the Project Administrators. Qualified candidates will have relevant experience in the architect/engineering consultant industry, strong excel and word processing experience and will be prepared to step in quickly to assist Project Administrator. This position offers growth opportunity for succession planning for current Transportation Project Administrator.

Essential Job Functions:

  • Serve as the front office point of contact. Greet visitors, manage deliveries, and maintain a professional, organized reception area
  • Coordinate office operations including conference room setup, office supplies, mail distribution, and facility requests
  • Support internal events and meetings. Schedule logistics, manage calendars, coordinate lunches, and track office functions
  • Maintain administrative tracking tools including calendars, logs, memberships, and office records
  • Assist with onboarding logistics including workspace setup, equipment coordination, and building access
  • Provide general administrative support across teams, including expense reports, document handling, and special projects

  • Assist with project coordination including meeting scheduling, documentation, and client deliverables
  • Support contract and subcontract processing, including document routing, approvals, and file management
  • Help track project financials and support reporting efforts in coordination with project managers and accounting
  • Contribute to project setup and closeout activities, including maintaining records and documentation compliance
  • Partner with cross-functional teams to support project execution and maintain organized communication
  • Coordinate schedules, meetings, and logistics for project teams and external stakeholders
  • Serve as a point of contact for internal staff, clients, and the public, ensuring professional and timely communication
  • Provide general administrative support including answering calls, greeting visitors, and assisting team members as needed

Required Qualifications:

  • A minimum of 3 years of experience in project assistance and/or contract administration, preferably in the Engineering community.
  • Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint Outlook Teams)
  • Must be organized, a resourceful problem-solver, a reliable team player, demonstrate high attention to detail and a commitment to accuracy, and have the self-initiative to follow-through on tasks until completion.
  • Must have excellent communication skills (verbal and written) and strong interpersonal communication skills to interact with diverse personalities, pleasant disposition and great attitude.
  • Ability to multi-task and prioritize conflicting demands in a deadline-driven, and at times highly demanding situations. This is an interactive position, therefore individual must have a positive, calm, and professional attitude while dealing with staff and clients in person, over the phone, and by email. Portray a positive professional image for the company.
  • A high level of integrity and discretion in handling confidential information and professionalism in dealing with leaders is expected.
  • Must be dependable and on time.
