The Role
We are seeking an Administrative Services Coordinator to support the Chief Operating Officer and collaborate closely with firm leadership, attorneys, and administrative teams.
This role is designed for someone early in their career who is highly organized, detail-oriented, and interested in learning how a law firm operates across departments. You’ll play a key role in helping keep priorities moving, supporting leadership initiatives, and ensuring strong coordination across the firm.
Responsibilities
· Provide direct administrative support to the COO, including calendar management, meeting coordination, and preparation of materials
· Support Executive Committee operations and help track leadership priorities, action items, and follow-ups
· Prepare reports, presentations, and briefing materials for leadership meetings
· Compile and organize information from multiple departments into clear summaries for leadership review
· Coordinate logistics for meetings and related activities involving the COO
· Support internal communication needs by gathering and organizing information for leadership use
· Assist with operational coordination across departments, including tracking initiatives and maintaining key data
· Support vendor coordination, including tracking documentation, renewals, and invoices
· Provide backup support for HR and administrative functions as needed
Preferred Skills

· Experience supporting senior leadership or working in a professional services environment
· Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
· Comfort working with data, reports, or tracking tools
· Interest in learning and using tools such as Excel, Power BI, Microsoft Teams, Loop, and firm-approved AI platforms
· Ability to identify opportunities to improve processes or workflows
(Not having all of these is not disqualifying — curiosity and willingness to learn go a long way.)
