The Administrative Professional I, under general supervision, performs functions such as data processing; relaying information; scheduling activities; generation of reports/records/spreadsheets from a computer. Provides customer service activities that can assist the customer on the spot or require sufficient knowledge of the organization and policies to direct the customer to the appropriate resources.

Provides administrative support for the assigned department; processes a variety of documentation associated with department operations within designated timeframes and per established procedures.


Collects, opens, and distributes department mail; maintains department calendars and schedules meetings or other activities.


Answers telephone calls and greets visitors; ascertains nature of business, directs callers/visitors to appropriate personnel, and records/relays messages; initiates and returns calls as necessary; provides information/assistance regarding department services, activities, and procedures; distributes forms forms/documentation as requested; and responds to routine questions or complaints and initiates problem resolution.


Maintains file systems of various files/records for the department; prepares and sets up files; sorts/organizes documents to be files; files documents in designated order; retrieves and replaces files; purges, shreds, or destroys confidential or obsolete documents and files in compliance with records retention policies and procedures.


Operates a computer to enter, retrieve, review or modify data; performs data entry functions verifying the accuracy of entered data.


May perform cash handling, p-card processing, and bookkeeping functions.


Performs other related duties as assigned.


POSITION-SPECIFIC FUNCTIONS


Solid Waste

Weighs vehicles entering and exiting the transfer station using a computer scale system that computes net weight of solid waste materials to be disposed of and user fees.


Provides customer service, answers questions on operations, procedures, acceptable materials, etc.; issues vehicle decals; hands out packets of information.


Checks loads; screens for unacceptable materials, hazardous and/or liquid waste; explains regulations; notifies transfer station staff about unacceptable or hazardous materials.


Receives cash payments from users; charges fees to established accounts.


Answers phones and assists drivers of vehicles entering the transfer station; provides information on department and transfer station operations, refers to other county departments as needed in response to customer questions.


Prepares and maintains records and reports pertaining to scale, weight, user fees, and recycling activities.


Performs certification and re-certifications of trucks; weighs trucks; weighs trucks to certify weigh in system; weighs filled and empty after dumping to recertify.


Prints financial computer report and transfer via computer to the solid waste administrative office; prints ticket batch report and prepares daily deposit for finance department.


Closes out records daily and verifies daily cash reports; prepares money for deposit.


Uses computer, printer, computer scale system, radio, telephone and other office equipment.


Assists the supervisor with administrative work as requested.


Operates residential waste and recycling center.


Performs general cleaning and maintenance duties inside and outside the facility.


Performs related work as required.



MINIMUM QUALIFICATIONS

Education and Experience:

High School diploma oran acceptable equivalency diploma (GED), and two (2) years of experience; or equivalent combination of education and experience.



PHYSICAL DEMANDS

Must be physically able to operate a variety of machinery and equipment including computers, printers, telephones, calculators, copiers, fax machines, cash registers, paper cutters, intercom, etc. Must be able to exert up to 30 pounds of force occasionally, and/or a negligible amount of force constantly to move objects. Physical demand requirements are in excess of those for Sedentary Work. Light Work usually requires walking or standing to a significant degree. However, if the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.

Work is performed in a safe and secure work environment that may periodically have unpredicted requirements or demands.
