The Administrative Assistant provides administrative support to ensure efficient daily operations within the department. This position assists with administrative processes and customer service while supporting both front-of-house and back-of-house operations as needed.
Essential Duties and Responsibilities
• Support daily financial operations, including balancing cash drawers, preparing deposits, and processing change orders.
• Assist with inventory management, invoicing, and financial tracking.
• Coordinate staff meetings, internal activities, and campus/community outreach efforts.
• Serve as liaison with other Yavapai College departments, including facilities and grounds maintenance.
• Prepare sales reports, spreadsheets, and other documents. Flag discrepancies to management.
• Maintain organized files and accurate financial and operational records.
• Provide professional customer service to students, staff, and community members.
• Fill front-of-house and back-of-house shifts to meet departmental needs.
• Work as cashier as needed by the department.
- High school diploma or GED.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational skills with attention to detail and the ability to multitask.
- Ability to work independently and collaboratively as part of a team.
- Demonstrated professionalism, discretion, and sound judgment.
- One (1) year of administrative, office support, cashiering, or related experience.
- Associate degree in Business Administration or related field.
- Experience working in a higher education or public sector environment.
- Experience with financial recordkeeping, purchasing systems, or point-of-sale systems.
