About the Role:

Our client, a leading organization in the Asset & Wealth Management space, is seeking a highly organized and proactive Administrative Assistant to support executive teams in a fast-paced, dynamic environment. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities with discretion and professionalism.


Key Responsibilities:

  • Provide high-level administrative support within a team-oriented environment, with flexibility to assist multiple teams as needed
  • Manage complex calendars across multiple time zones, including scheduling meetings, prioritizing requests, and coordinating logistics
  • Handle a high volume of incoming calls, take accurate messages, and interact professionally with senior leaders and clients
  • Coordinate domestic and international travel arrangements, including visa processing and expense reporting
  • Organize internal and external meetings, including conference room bookings, catering, guest registration, and materials preparation
  • Perform general administrative duties such as data entry, filing, scanning, mailing, and document management
  • Maintain confidentiality while handling sensitive client and business information
  • Act as a key team member by staying informed on priorities and proactively providing support
  • Ensure compliance with internal policies and approval processes


Required Qualifications:

  • Proven experience as an Administrative Assistant supporting senior executives in a complex, fast-paced environment (financial services, corporate, or government preferred)
  • Strong judgment and discretion when handling confidential information
  • Excellent interpersonal and teamwork skills with the ability to collaborate across global teams
  • Ability to remain calm under pressure while managing multiple priorities efficiently
  • Strong written and verbal communication skills with a professional demeanor
  • Exceptional organizational skills and attention to detail
  • Self-starter with strong problem-solving and follow-up skills
  • High level of integrity, professionalism, and diplomacy
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Zoom
  • Experience with expense management tools such as Concur or similar platforms


Preferred Qualifications:

  • Experience supporting teams in Asset & Wealth Management or similar industries
  • Familiarity with global scheduling and executive-level coordination
