Duration: 06+ Months (Contract/Temp with the possibility of extension)
Shift: 1st Shift (Monday–Friday, between 7:00 AM – 4:30 PM)
Pay Range: $23/hr to $24/hr
Job Description:
We are seeking a highly organized and detail-oriented Factory Administrative Assistant to support daily operations within a fast-paced manufacturing environment. This role is ideal for a proactive professional who thrives in coordinating schedules, managing communications, and supporting leadership teams with administrative and operational tasks.
Key Responsibilities
Manage calendars, schedule meetings, and coordinate travel arrangements for department managers and supervisors
Organize meetings, including logistics and amenities (e.g., refreshments, materials)
Serve as a point of contact for internal and external inquiries; resolve issues or escalate when necessary
Gather, maintain, and analyze data from multiple sources to create reports and support decision-making
Maintain databases, records, and filing systems to ensure accuracy and accessibility of information
Prepare documents, correspondence, and reports, including handling confidential and sensitive information
Coordinate workflow and follow-ups on behalf of leadership to ensure timely task completion
Receive and direct visitors and calls, including coordination across multiple departments or locations
Assist in planning and organizing employee engagement activities, meetings, and events
Support coordination with onsite vendors or contractors (e.g., facilities, food services)
Participate in initiatives focused on improving workplace experience and operational efficiency
Required Qualifications
Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Excellent organizational, multitasking, and time-management skills
Strong written and verbal communication skills
High attention to detail and accuracy
Ability to handle confidential information with discretion
Self-motivated, proactive, and able to work independently
Comfortable working onsite in a factory/manufacturing environment
Preferred Qualifications
Postsecondary education (associate’s or bachelor’s degree)
3–5 years of administrative, office support, or coordination experience
Experience supporting multiple stakeholders in a fast-paced environment
Additional Information
Minimal local travel may be required
Occasional time on the factory floor; appropriate safety gear (e.g., metatarsal protection) will be required
