Administrative Assistant

Oil and Gas client is looking for a Bilingual (Portuguese) Executive Support

• Manage the CEO’s calendar, scheduling, and meeting coordination.
• Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
• Screen and answer phone calls, emails, and correspondence on behalf of the CEO.
• Prepare meeting agendas, take meeting minutes, and follow up on action items.
• Assist with special projects and administrative tasks as assigned.
• Anticipate the CEO’s needs and proactively address priorities and logistical requirements.

Qualification

• Fluency in Portuguese and English (reading, writing, speaking, and translation)
• 3+ years of executive assistant, administrative assistant, or related experience supporting senior leadership
• Exceptional organizational and time management skills
• Strong attention to detail and ability to manage multiple priorities simultaneously
• Excellent written and verbal communication skills
• High level of professionalism, discretion, and confidentiality
• Strong interpersonal skills with a compassionate and service-oriented mindset
• Self-starter with a proactive, "go-getter" attitude and the ability to anticipate needs
• Proficiency in Microsoft Office Suite and standard business applications
