Administrative Assistant
Location: Boston, MA
Compensation: $85,000 – $95,000 Base Salary + Bonus + Comprehensive Benefits

A highly respected investment management organization is seeking an Administrative Assistant to support a collaborative team within a fast-paced corporate environment. This individual will play an important role in ensuring the efficient coordination of administrative, operational, and documentation-related activities while supporting internal stakeholders and business initiatives.

Key Responsibilities
Administrative & Team Support
- Coordinate the preparation, organization, distribution, and filing of internal and external documents.
- Manage shared team inboxes and ensure timely routing of requests and communications.
- Assist with scheduling, meeting coordination, and administrative support for team members.
- Prepare reports, presentations, spreadsheets, and departmental materials.
- Support special projects and cross-functional initiatives as needed.
Records & Documentation Management
- Maintain and update internal databases, logs, and tracking systems.
- Organize electronic and physical records, ensuring accuracy and accessibility.
- Manage document retention, storage, scanning, and file maintenance processes.
- Maintain vendor, consultant, and external contact information.
Reporting & Operational Support
- Prepare departmental reports, metrics, and status updates.
- Track ongoing projects and assist with maintaining organized documentation.
- Support workflow management and operational efficiency initiatives.
- Assist with data entry, document review, and administrative coordination activities.
Office & Team Coordination
- Collaborate with team members across departments to support day-to-day operations.
- Assist with internal meetings, team events, and project coordination.
- Contribute to maintaining a professional, organized, and service-oriented environment.
- Support adoption of new technologies and process improvement initiatives.
Qualifications
Required
- Bachelor's degree preferred.
- 2+ years of administrative, executive support, operations, legal support, financial services, or professional services experience.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Proficiency in Microsoft Office Suite, particularly Outlook, Word, and Excel.
- Ability to handle confidential information with professionalism and discretion.
Preferred
- Experience supporting professionals within financial services, investment management, legal, consulting, or corporate environments.
- Experience maintaining records, databases, and documentation systems.
- Strong project coordination and organizational abilities.
- Familiarity with AI tools and technology platforms that improve administrative efficiency.
