Grambling State University is seeking an Administrative Assistant 3 to provide general office management and clerical support to the School of Social Work.

Two years of experience in administrative services.

EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.The official job specifications for this role, as defined by the State Civil Service, can be found here.

Job Duties:

  • Manage the offices of the Associate Dean to make day-to-day administrative decisions on his/her behalf. Provide assistance to faculty, staff, and students under the direction of the Associate Dean.

  • Provide administrative support to the MSW Program. Inform Director and Associate Dean of any issues related to students’ progress and problems that might arise. Organize day-to-day office decisions.

  • Provide principle administrative support to the BSW Program. Organize the BSW office and make day-today administrative office decisions. Provide assistant and support to faculty and students under the direction of the Associate Dean and BSW Director.

  • Provide support to the Field Education Office as needed by the Director of Field Education. Prepare travel authorizations, travel expense forms and requisitions for the field office. Prepare documents to support field practicum insurance for students and faculty. Keep abreast of budgetary concerns, monitor budget and view budget items to ensure smooth seamless operations with the field account.

  • Assist with preparation for graduate hooding ceremony, undergraduate graduation celebration, prepare awards and certifications, and arrange food service.
