The IS Administrative Support Coordinator works as an administrative assistant under the direction of the IS Director. The IS Administrative Support Coordinator will coordinate and perform administrative tasks for the IS Department to include but not limited to managing active directory accounts, answering helpdesk lines, updating information for global directory and email distribution. Will create, track and make payments for purchase orders, maintain inventory of equipment, coordinate communications with staff and end-users, follow-up with customers to resolve issues, manage calendar and schedule appointments and meetings.
Education Required: High School Diploma or equivalent
and Associates degree from an accredited 2-year college or program in the area of Business, Secretarial, or closely related field.
Certification(s) Required: N/A
License(s) Required: Valid LA driver's license.
Years of Relevant Work Experience: Three (3) years work related experience or training in office practices and computers. Equivalent combination of education and experience will be considered.
Other Job Specifications:- Knowledge of modern office practices, procedures, equipment and clerical techniques
- Knowledge of business, English, spelling and arithmetic
- Must be highly computer literate with extensive experience in database management and excellentattention to detail.
- Skill in the use of modern office equipment. To include, computer, copier/scanner/fax, telephone andcalculator.
- Skill in Microsoft Office Word, PowerPoint & Excel and database management
- Skill in assessing customer’s area of concern and routing to correct staff person
- High in customer service and the ability to deal with the public with tact and courtesy.
- Ability to prepare clear and concise oral and written reports/correspondence/presentations
- Ability to use basic mathematical tabulations and computations and make corrections accurately
- Ability to communicate information to others both orally and in writing
- Ability to receive and resolve complaints and questions
- Ability to work under pressure and meet multiple deadlines
- Ability to maintain effective working relationships with employees and the general public
Job Duties include but are not limited to:
- Manage Active Directory Accounts
- Update Employee Information in Global Directory
- Update Email Lists Weekly (365 Distribution and MailMan)
- Answer Helpdesk line during normal business hours and check voicemail daily.
- Aide in the initial assignment and prioritization of tickets
- Facilitate communications between technicians and end-users
- Follow-up with customers after issues resolved
- Obtain required information for PO approval (Competitive Quotes, W-9's, etc.)
- Receipt of Goods on IS items Procured through Logos
- Maintain Inventory of IS Equipment and Supplies for Department and Retail Space
- Coordinate In/Outs for IS Team members
- Maintain timely and accurate submissions of PCard Logs for all IS Staff
- Perform IS's Copying, Scanning, Faxing, Filing, Mailing or Return shipping.
- Performs bi-weekly payroll preparation
- Prepares, submits and tracks invoices, purchase orders and payments for the IS department
- Prepares agenda for Committee meetings and record minutes
- Prepares other reports and presentations as requested
- Calendar Management and Scheduling of Appointments and Meetings
- Mobile Device Administration
Secondary Duties: - Perform other Administrative or Minor Technical Support duties as required or as assigned.
