Overview

Administrative Aide positions are in the Information and Document Management Organization. Functional Areas include: Information Services, Document Data Bank, Engineering Data Support / Data Retention, ELCADD, and Graphic Services. Candidate will be considered for a number of different openings in the Organization.

Tasks and functions to be performed include the following:

Entering data into various computer systems (3G/MRPII, DB2, EB Document Data Bank, MS Access, etc); processing WDSs; preparation, distribution and receipt of both internal and external electronic and hardcopy documents; scanning and attributing of documents (Data Bank, etc.); supporting design/construction requests for design deliverable information (drawings, ERs, etc.); general filing; mail delivery/pick up; updating of Excel Charts; and other general administrative functions.

  • Functions may also require operating office equipment, including high-speed black & white and color copiers, large format plotters, large format engineering document scanners and copiers, and CD duplicator machines
  • Employees will be responsible to ensure that the highest level of data integrity is maintained and that all work is completed to support department schedules
  • Attention to detail is essential
  • Employees share office responsibilities with other Administrative Aides in the Organization
  • Cross training of office functions will be expected to ensure full coverage of responsibilities across the organization
  • This is a full time in office position with availability to work 1st shift

Qualifications

Required:

  • High School Diploma or GED Equivalency
  • Minimum 2 years of experience performing administrative duties
  • Working knowledge and experience using MS Excel, Power-Point, and Word
  • Working knowledge and experience using Fox It or Adobe Acrobat
  • Experience entering data into electronic systems
  • Document filing experience (organization of electronic files into folders or physical files into repositories)

Preferred:

  • Word processing skills and type at least 45 words per minute
  • Experience working on or with a team of individuals

  • 3G/MRPII, DB2, NNPP Net, EB Commitment Report Processes, CITIS
  • Knowledge of Submarine Design and Construction processes
  • Well developed verbal and written communications skills
  • Ability to complete work accurately while meeting schedules - attention to detail is essential
  • A willingness to adapt as position requirements change and accept reassignment within the organization based on work load needs
