Position Summary: Responsibilities include greeting visitors, answer phones, process daily tasks and support to the corporate office accounting and management teams on a daily basis. Reports to the Assistant CFO and interacts with a diverse group of individuals within the organization, including contacts at all levels.


Administrative Duties and Responsibilities:

  • Provides administrative support to ensure efficient operation of office.
  • Provides general business support to company executives and shareholders.
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence.
  • Maintain inventory of all supplies by checking stock to determine anticipating needs; place and expedite orders for supplies; verifying receipt against items delivered.
  • Collate and distribute mail.
  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
  • Ensures control of confidential data, which if disclosed, could have significant internal effect.
  • Complete special projects as assigned.

Accounting Duties and Responsibilities:

  • Supports controller with preparation of monthly financial statements.
  • Completes payments and controls expenses by receiving, processing, verifying and reconciling invoices.
  • Pays vendors by monitoring discount opportunities, verifying federal id numbers, scheduling and preparing checks, and resolving purchase order, contract, invoice, or payment discrepancies and documentation.
  • Communicate with vendors, when necessary, regarding billing questions and discrepancies.
  • Organize and file all disbursements to properly maintain and orderly and accurate payment history.
  • Coordinate operations to ensure timely receipts of all invoices and daily paperwork.
  • Record checks to the corporate cash log and post deposits.
  • Complete special projects as assigned.

Requirements

  • An Associate’s degree preferred. Bookkeeping or general accounting experience of at least 2 years is required*
  • Must have knowledge of MS Office Applications and Windows operating systems
  • Knowledge of Accounting Information Systems a plus
  • Analytical and problem-solving ability is required in order to gather and summarize data for reports, solve various problems, and prioritize work
  • Attention to detail and ability to meet deadlines is critical
  • Required to sit for long periods of time
  • Usual office working conditions
  • Lifting up to 15 lbs. required; may require lifting, pulling, or pushing up to 50 lbs.
  • Professional demeanor at all times
  • This position requires presence at the company's home office and does not allow for Remote Work
