About the Role:

We are seeking an organized and customer-focused Access Control Coordinator to oversee and maintain a welcoming, secure lobby environment while supporting workplace access management operations. This role combines hospitality, administrative coordination, and security system oversight to ensure a seamless experience for employees and visitors entering and exiting company facilities.

The ideal candidate excels in customer service, thrives in a fast-paced environment, and demonstrates strong attention to detail. This position requires managing access control systems, handling badge operations, supporting workplace security protocols, and ensuring smooth day-to-day lobby operations. The role also involves collaborating with Workplace Operations and Physical Security teams to address issues, escalate concerns, and maintain controlled facility access.


Key Responsibilities

  • Work onsite five days per week to support workplace operations.
  • Provide oversight and management of the access control software system used for employee and visitor entry to company facilities.
  • Monitor access activity and escalate security issues or emergencies to appropriate internal teams such as Workplace Operations and Physical Security.
  • Provide remote support for access control systems across domestic and international facilities.
  • Troubleshoot and coordinate break/fix support for badging equipment and access control software.
  • Manage vendor relationships related to access control systems, badge printing supplies, and technical support services.
  • Provide reception and remote access support for office locations as needed.
  • Order, maintain, and manage badge printing equipment and supplies.
  • Conduct regular badge audits, deactivate unused badges, and update employee access profiles.
  • Properly collect, dispose of, and replace damaged, broken, or demagnetized badges.
  • Partner with internal security teams to ensure workplace safety protocols and access standards are maintained.
  • Track, process, and analyze operational data to support reporting and strategic planning.


Required Experience & Skills

  • 1+ year of office or administrative experience required.
  • Experience with access control or security systems is preferred.
  • Strong ability to remain organized and manage multiple priorities in a fast-paced environment.
  • High attention to detail and ability to handle routine operational tasks accurately.
  • Self-motivated with a strong sense of urgency and accountability.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with the ability to collaborate across departments.
  • Ability to handle confidential and sensitive information with professionalism.
  • Demonstrated ability to adapt and pivot in a dynamic work environment.
